Policies & Procedures
1. Enrollment, Student Status & Art Lessons
Enrollment
Enrollment must be completed online at othelsart.com. Enrollment for each child must be in an open (available) class in their appropriate grade group and is considered completed once all required information is provided, and the enrollment form(s) are submitted. By submitting an enrollment form, you are agreeing to all policies and procedures herein.
Student Status
After submission of the enrollment form, your child’s seat is reserved and considered currently enrolled until a cancellation form is submitted.
Art Lessons
Art lessons are month-to-month, year-round, with hour-long, once-a-week lessons. Once enrolled, a suspension or cancellation may be submitted at any time in accordance with our policies and procedures.
2. Tuition, Fees & Billing
Tuition Authorization & Refunds
By enrolling at Othels Art Academy, you authorize Othels Art Academy to process all tuition and enrollment fee payments. All tuition payments and enrollment fees are non-refundable, and no credits are issued for missed classes. Furthermore, you agree to resolve all account changes through the academy’s suspension and cancellation policies rather than initiating payment disputes or chargebacks.
Payment Disputes & Chargebacks
Any payment disputes or chargebacks will result in immediate account suspension until resolved. Any fees incurred by Othels Art Academy due to disputed payments may be billed to the account holder.
Enrollment Fee
The enrollment fee is billed and paid at the time of enrollment, and is a one-time fee, unless you, cancel your child’s account or suspend your child’s account for longer than two consecutive months, at which point, they will be considered a new student, and the enrollment fee will be billed once they are re-enrolled or return from suspension.
Tuition
Tuition is a flat rate billed monthly and is not prorated based on weeks per month.
First Tuition Payment & Recurring Billing
First month’s tuition is billed and paid at the time of enrollment. Each month, your child’s tuition will be automatically billed and paid through recurring payments from the card on file on or around the billing day chosen. Tuition will continue to be withdrawn on a recurring monthly basis unless a cancellation or suspension form is submitted.
Tuition Billing Day
You can choose any day from the 1st through the 7th of the month for your child’s art lesson tuition to be paid.
3. Past-Due & Missed Tuition Payments
Past-Due Tuition
If a tuition payment is declined for any reason, you authorize Othels Art Academy to reprocess that payment on or before the 29th of the month. All monthly tuition payments must be successfully processed by the 29th of each month. If a tuition payment is not completed by this date, the student will not be permitted to attend any art lessons until the outstanding balance has been paid in full.
4. Account Changes & Notice Period
Account Changes
All account changes, including payment updates, schedule changes, class extensions, suspensions, and cancellations, can be found online at othelsart.com/account-changes
Notice Period
Othels Art Academy requires a notice period on certain account changes, which requires submissions to be submitted on or before the 20th of the month prior to when the changes need to take place.
5. Suspensions (NOTICE PERIOD REQUIRED)
Suspend
Suspensions may be submitted for up to two consecutive months at a time and must be submitted by the notice period. Suspensions submitted after the notice period will result in tuition being billed for the first month of the requested suspension, with the second month suspended if applicable. During a suspension, Othels Art Academy will hold your child’s seat for up to two months per calendar year. Tuition payments will resume in the stated return month. If your child will not be returning after a suspension, a cancellation form must be submitted following the cancellation policy.
*All suspensions must be submitted online at othelsart.com/suspend and cannot be accepted over the phone, through email, or in person.
6. Cancellations (NOTICE PERIOD REQUIRED)
Cancel
Cancellations must be submitted by the notice period for the current month to be considered as the final month. Cancellations submitted after the notice period will result in a tuition payment due for the upcoming month, which will then be considered as the final month. Once a cancellation is submitted, your child will be withdrawn from Othels Art Academy, and no further billing occurs after the final month. Students may attend classes for a month for which a tuition payment has been billed.
*All cancellations must be submitted online at othelsart.com/cancel and cannot be accepted over the phone, through email, or in person.
7. Automatic Withdrawal
Automatic Withdrawal
Othels Art Academy will automatically withdraw a child from art lessons who is not on a suspension, and who has not attended a single art lesson class in two consecutive months. No cancellation form will need to be submitted. Once withdrawn, no further billing or tuition payments will be incurred. If returning, you will need to re-enroll your child as a new student.
8. Make-Up Lessons & Closings
Make-up Lessons
One make-up art lesson per month per child is offered for any art lesson(s) missed. The make-up lesson is typically scheduled for the second Saturday of each month from 12 p.m.-1 p.m. unless otherwise stated on the make-up schedule sheet posted inside the lobby. All make-up lessons are held in the month following the month your child missed their art lesson(s). Art lesson(s) falling on or during a holiday closing or that are canceled following the Fulton County School District closings due to inclement weather circumstances are not eligible for a make-up lesson. The make-up lesson must be attended for the appropriate month missed and does not credit or carry over to other months. All make-up lesson scheduling, availability, and format are determined at the sole discretion of Othels Art Academy.
Closings Schedule
The holiday closing schedule for the entire year can be found online at othelsart.com/holiday-schedule. Othels Art Academy follows the Fulton County School District closings, including after-school activity cancellations due to inclement weather circumstances.

Wellness Code
The health and wellness of your family and our staff are important to us. Since the pandemic in 2020, we have implemented our own “Keep Creativity Healthy” guidelines. If your child has been sick or missed school due to illness, please do not bring them to art lessons and take advantage of our make-up policy. We do share supplies and sit in proximity to one another inside the classrooms. If any child attends art lessons with any Covid, cold, or flu-like symptoms, at the sole discretion of Othels Art Academy, you will be contacted to pick your child up from class.
10. Drop-Off, Pick-Up, Supervision, Food & Drinks
Drop-off & Pick-up
Children should arrive no earlier than 10 minutes before the start of class and be picked up no later than 5 minutes after class ends. Parents can wait inside the lobby during classes or drop off and return for pick-up at the end of each class. It is the responsibility of your child to know who is picking them up, especially if this person differs from the one who dropped them off.
Supervision & Personal Property
Siblings or friends who are not enrolled students and are under the age of 18 must be accompanied by an adult at all times while inside the facility, and are not permitted to wait inside the classroom. While every effort is made to maintain a safe environment, Othels Art Academy is not responsible for interactions that occur between students during class activities, or for personal items that are lost, stolen, or damaged while on the premises.
Food & Drinks
Students are permitted to bring drinks into the classroom only if they are in a secured screw-top or pop-top water bottle. Cups with straws, open-top containers, and all food are not permitted inside the classroom.
