Policies & Procedures

Art Lessons
Art lessons are month to month once enrolled and can be suspended or canceled at anytime following our suspend or cancel policies and procedures. Art lessons are held 12 months per year.

Enrollment
Enrollment must be completed online at othelsart.com. Enrollment for each child must be in an open (available) class in their appropriate grade group and is considered completed once all required information is provided and the enrollment form is submitted. After completed your child’s seat is reserved, and they are considered enrolled until a cancellation form is submitted. By submitting an enrollment form, you are agreeing to all policies and procedures herein.

Tuition / Enrollment Fee Payment(s)
By enrolling at Othels Art Academy, you authorize Othels Art Academy the right to process all tuition and enrollment fee payments. Any tuition payment(s) and/or enrollment fee(s) made are non-refundable, and no credit(s) are offered for any art lesson(s) missed.

Enrollment Fee
The enrollment fee is billed and paid at time of enrollment and is a one-time fee unless you cancel your child’s art lessons account or suspend your child’s art lessons account for longer than two consecutive months, at which point they will be considered a new student, and the enrollment fee will be billed once they are re-enrolled or return from suspension.

Tuition
Tuition is a flat rate billed monthly and is not prorated based on weeks per month.

Tuition Payment(s)
First months tuition is billed and paid at time of enrollment. Each month, your child’s tuition will be automatically billed and paid through recurring payments from the card on file on or around the billing day chosen. Tuition will continue to be withdrawn on a recurring monthly basis unless a cancel or suspend form is submitted.

Tuition Billing Day
You can choose any day from the 1st through the 7th of the month for your child’s art lesson tuition to be paid. If a tuition payment is declined for any reason, you authorize Othels Art Academy to reprocess that payment on or before the 29th of that month.

Account Changes
All account changes, including payment updates, schedule changes, class extensions, suspends, and cancels can be found online at othelsart.com/account-changes

Notice Period
Othels Art Academy requires a notice period on certain account changes, which requires submissions to be submitted on or before the 20th of the month prior to when the changes need to take place.

Suspend: NOTICE PERIOD REQUIRED
Suspensions can be submitted for any month for up to two consecutive months at a time, but must be submitted by the notice period of on or before the 20th of the month prior to when the suspension needs to take effect. (Example: Suspending for the month of April, a suspend form must be filled out and submitted on or before March 20th.) If submitted after the 20th of the month, the following months tuition will be billed and withdrawn. If you submit a suspension for two consecutive months but the submission is submitted after the 20th, the first month of suspension tuition will be billed and withdrawn, but the second months tuition will be suspended. (Example: Suspending for the month of April and May but the suspend form is submitted after March 20th, April’s tuition will be billed and withdrawn, but there will be no charge in May.) During a suspension Othels Art Academy will hold your child’s seat for up to two months per calendar year. Tuition billing and withdraws will resume on return month. If not retuning after a suspension, a cancellation form must be submitted.

*All suspensions must be submitted online at othelsart.com/suspend and are not able to be accepted over the phone, through email, or in person.

Cancel: NOTICE PERIOD REQUIRED
A cancellation can be submitted for any month, but must be submitted by the notice period of on or before the 20th of the month prior to when the cancellation needs to take effect. (Example: Canceling for the month of April a cancellation form must be filled out and submitted on or before March 20th.) After a cancellation is submitted, your child will be withdrawn from Othels Art Academy and no further billing or tuition payments will incur. If a cancellation form is submitted after the 20th of the month, the following months tuition will be billed and withdrawn, and payments will effectively stop the following month. (Example: Canceling for the month of April but the cancellation form is submitted after March 20th, April’s tuition will be billed and withdrawn, and no further payments will be billed or withdrawn thereafter.) If a cancellation is submitted after the notice period of the 20th, your child is able to attend the art lessons for the month billed.

*All cancellations must be submitted online at othelsart.com/cancel and are not able to be accepted over the phone, through email, or in person.

Automatic Withdrawal
Othels Art Academy will automatically withdraw a child from art lessons who is not on a suspension and who has not attended a single art lesson class in two consecutive months. No cancellation form will need to be submitted. Once withdrawn, no further billing or tuition payments will incur. If returning, you will need to re-enroll your child as a new student.

Make-up Lessons
One make-up art lesson per month per child is offered for any art lesson(s) missed. The make-up lesson is typically scheduled for the second Saturday of each month from 12p.m.-1p.m. unless otherwise stated on the make-up schedule sheet posted at all locations. All make-up lessons are held in the month following the month your child missed their art lesson(s). Art lesson(s) falling on or during a holiday closing or that are canceled following the Fulton County School District closings due to inclement weather circumstances are not eligible for a make-up lesson. The make-up lesson must be attended for the appropriate month missed and does not credit or carry over to other months. Make-up classes for 8th-12th grade extended are standard one hour not an hour and a half.

Closings Schedule
Holiday closing schedule for the entire year can be found online at othelsart.com/holiday-schedule. Othels Art Academy follows the Fulton County School District closings, including after school activity cancelations due to inclement weather circumstances.

Wellness Code
The health and wellness of your family and our staff are very important to us. Since the pandemic in 2020, we have implemented our own “Keep Creativity Healthy” policy. If your child has been sick or has missed school from not feeling well, please do not bring them to art lessons and take advantage of our make-up policy. We do share supplies and sit in close proximity to one another inside the classrooms. If any child attends art lessons with any Covid, cold, or flu-like symptoms, at our teachers sole discretion, we will reach out requiring them to be picked up from class.

Student Benefits
Included with tuition are certain student benefits, but no guarantee is made for those benefits, and they are subject to change without notice with no effect on tuition.

Drop-off and Pick-up
Children should arrive no earlier than 10 minutes before the start of class and should be picked up no later than 5 minutes after class ends. Parents have the ability to wait inside the lobbies during classes or can drop off and return for pick-up at the end of each class. It is the responsibility of your child to be aware of who is picking them up, if this differs from who is dropping them off.

While using othelsart.com and by submitting an online form through othelsart.com, you authorize Othels Art Academy the use of any and all information submitted for the full completion intended of specific form including, names, addresses, phone numbers, emails, schedule changes, payment information, authorization of payments, and any and all other information obtained.
